Special Event Policies

Member Sponsorship of Non-Members

A member sponsoring a non-member for use of Epping Forest Yacht Club banquet facilities agrees to assume full responsibility for that event as if it were his or her own. A sponsoring member accepts full financial responsibilities for payment of the sponsored event in case of default of payment by the non-member. When non-payment of the event reaches 60 days, the event's balance will automatically be applied to the sponsoring member's account. The sponsoring member also accepts full liability of any property damage assessed by the management. The member's account must remain current throughout the sponsorship term or the sponsorship will become void. The member will be bound to the agreement by a contract issued by the Club.

Guarantee Requirements

We require a guaranteed guest count three (3) days (seven (7) days for weddings) prior to your event. If we do not receive a guaranteed guest count, food will be prepared and charged for the number of guests as stated on your signed contract on file in our office.

Taxes & Gratuities

A 20% gratuity and 7% state sales tax will be added to each food and beverage sale. Any gratuity charge, made to a customer for the service of any taxable food or drink product, is considered part of the sale price of such food or drink product and is taxable.

Deposits for Weddings and December Events

A deposit of fifty percent (50%) of the food and beverage minimum purchase will be required in order to secure the space for weddings and December events. The deposit will be applied to the final bill and will be non-refundable within six(6) months of the event unless stated otherwise.

Increased Guest Count

The Club will be prepared to serve five percent (5%) over the final guarantee. Any increases in the number higher than five percent will be subject to the Club's ability to accommodate the increased number. Any additional menu requests made the day of the event will be charged above the guaranteed guest count.

Preset Menus

A preset menu is required for any group greater than twelve (12) and must be selected at least fourteen (14) days prior to the event, and as specified by the Club.

Cancellations of Events (excluding weddings and December events)

Cancellation of any event within seven (7) days of the event will be subject to a cancellation fee of fifty percent (50%) of the estimated food and beverage purchase including applicable gratuities and taxes.

Food and Beverage on EFYC Premises

Members and guests sponsored by members may not bring food, refreshments or beverages on the Club Premises. No alcohol beverages may be brought to, served or consumed on the Club premises except through the regular club channels. Sale of intoxicating beverages will be in accordance with state and federal regulations. "Shots" of alcoholic beverages are not permitted under any conditions. Services of alcohol will not continue for a period longer than 4 hours.
